KYB Verification: How to Confirm a Business Is Real

A working website and a professional-looking invoice don't confirm a business is real. Here's what actually does.

A company can have a working website, a registered-sounding name, and a professional invoice template without being a real, currently operating, legally registered business. KYB, Know Your Business, is the process of checking the things a website can't fake.

The four things KYB actually verifies

Registration status. Is the company registered as a legal entity where it claims to be, and is that registration active, not dissolved, not in administration, not struck off? This is checked against the actual company registry, not the company's own website.

Formation history. When was the company actually formed, relative to when it approached you? An entity formed weeks before making contact, presented as though it has years of history, is a specific, checkable red flag.

Beneficial ownership. Who actually controls the company? A registered director on paper isn't necessarily who makes decisions, and layered ownership structures can obscure who you're really dealing with.

Standing and exposure. Litigation, liens, sanctions exposure on the entity or its officers, and adverse media, checked against public sources, not the company's own claims about itself.

Where this data actually comes from

Company registries vary by country. The UK's Companies House publishes free, detailed records including officers and filing history. Many other jurisdictions have less complete or less accessible public registries, which is exactly why "not digitally available" is a real, honestly-disclosed limitation in a proper report rather than something quietly skipped. Sanctions exposure is checked against OFAC, the UN, and EU consolidated lists regardless of jurisdiction, since a company doesn't need to be based in the US, UN member states, or the EU to appear on their sanctions lists.

Red flags specific to KYB

  • A registered address that's a mail-forwarding service with no actual operations
  • Officers who can't be independently confirmed to hold the roles claimed
  • A domain registered around the same time as the company's formation, with no earlier digital footprint
  • Ownership that runs through offshore structures with no disclosed reason tied to the actual business
